Why PMS Auto Night Audit Failed to Execute

Property Management System

The Auto Night Audit Process is a critical step in updating the PMS date and organizing daily operations. If the process does not occur, it may be due to various technical or operational reasons:

1. Is the PMS Automatic Day Closure Enabled?

  • First, ensure that the PMS > Setup > Settings > Automatic Day Closure option is enabled.
  • If this feature is disabled, the automatic end-of-day process will not run.

2. Status of Check-in and Check-out Transactions

  • During the automatic process, if there are reservations for the PMS date that have not yet checked in, and the “Stop Day Closure for Pending Check-in” option is active, the system cancels the automatic day closure.
  • The same applies to check-out transactions, which are controlled via the “Stop Day Closure for Pending Check-out” setting.
  • Therefore, all check-in and check-out operations must be completed before the automatic process can proceed.

3. Status of Cashier Accounts

  • If there are open cashier accounts on the PMS date and the “Stop Day Closure for Front Office” option is selected, the system will halt the automatic day closure.
  • In this case, the cashier accounts must be closed manually or automatically.

4. Room Transfer Transactions

  • If there are planned room transfers for the date that have not yet been executed, and the “Stop Day Closure for Pending Room Transfers” option is active, the automatic day closure will stop.
  • These transfers must either be completed or canceled to allow the process to continue.

5. Solutions

  • Complete all pending check-in, check-out, and cashier transactions.
  • Review and adjust automatic closure settings if necessary.
  • If needed, use options such as:
    • Assign No-Show
    • Extend Stay
    • Automatic Closure
