How to accept Pay at Property (Cash)

Channel Manager

The Pay at Property (Cash) method allows guests to book a room through your website without making an immediate online payment. The reservation is secured either with or without credit card details, but the actual transaction occurs physically at the hotel. This method is essential for capturing guests who prefer traditional payment methods or are hesitant to share card details online.

To activate and manage the “Pay at Property” method in your management panel, follow these steps:

1) Log in to your panel.

2) Select to My Property > Settings > Payment Methods.

3) Locate the Pay at Property or Cash option and click “Edit.”

4) Set the name guests will see at checkout (e.g., “Pay at Hotel” or “Cash at Check-in”).

5) Add a brief instruction for the guest (e.g., “No payment is required now. You can pay in cash or by card upon arrival.”).

6) Ensure the toggle is set to Active.

7) You can require credit card information to guarantee the reservation and prevent No-show situations, or set it to No Card Information Required for maximum ease of use.

How the process works

Reservation: The guest selects the room and selects Payment at the Hotel as the payment method.

Confirmation: The system generates confirmation instantly. The reservation status appears as Confirmed, but the payment status is marked as Pending or To be Paid at Hotel.

Arrival (Check-in): When the guest arrives at the hotel, the receptionist collects the total amount in cash or from the physical POS device.

Manual Update: After the collection is made, the hotel staff enters the reservation record in the system and manually updates the payment status as Paid.

🔔 Note: This payment method and configurations are only valid for your official website. Reservations from third-party agencies (Booking.com, Expedia, etc.) are subject to the payment rules and policies determined by the relevant channels.
