The process in which the PMS date changes automatically at a predefined time is referred to as PMS Auto Night Audit. This automated operation simplifies the transition to the next day without requiring manual intervention.
Steps for PMS Auto Night Audit Operations.
- Activate the Feature
- To provide PMS Auto Night Audit operation, activate the process through the PMS > Setup > Settings extension.
- Set the Time
- Specify the closing time based on your operational structure, selecting a time that suits your business requirements.
- Manage Check-in and Check-out Actions
- You can define the actions to be taken for pending reservations through the Day Close Waiting Check-in Operations and Day Close Waiting Check-out Operations fields.
- Day Close Waiting Check-in Operations:
- Stop day close: If there’s a reservation that has not been checked in, the entire automatic day close operation will be canceled.
- No show: The system will mark the room or rooms that have not been checked in as “No show” and continue with the process.
- Day Close Waiting Check-out Operations:
- Stop day close: If there’s a reservation that has not been checked out, the entire automatic day close process will be canceled.
- Extend stay: The system will adjust the checkout date of the room or rooms that have not been checked out to the next day.
- Manage Cashiering Operations
- In the Day Close Waiting Cashiering Operations field, you can dictate how to handle unclosed cash accounts of HotelRunner users.
- Stop day close: The system will halt the automatic day closing process if a cash register has not been closed.
- Auto-close transactions: The system will automatically close the cash accounts of users and finalize the transaction.
- Manage Room Move Operations
- In the Day Close Waiting Room Move Operations field, you can control how to handle rooms waiting for room changes.
- Stop day close: The system will halt the process if a planned room change has not been executed.
- Auto-cancel transactions: The system will automatically cancel the planned room changes and complete the transaction.
- Save the Settings
- Finally, when you save your transactions with the Save button, you will have completed the PMS Auto Night Audit procedure.
