You can view and edit all profiles created on HotelRunner PMS by navigating to <\/span>PMS > Guest Relations > All<\/b>. Additionally, you can add a new profile independently of any reservations.<\/span><\/p>\n<\/p>\n <\/div>\n <\/div>\n \n\n\n

1. Start Creating the Profile<\/h3>\n\n\n\n
    \n
  • First, click the Add guest<\/strong> button and then the Company<\/strong> button.<\/li>\n\n\n\n
  • In the Basics<\/strong> section of the Add guest<\/strong> screen, you can add the general information.<\/li>\n\n\n\n
  • To create a profile, it will be sufficient to add the Company Title<\/strong> information at a minimum. You can click Save<\/strong> at this stage or continue filling in the optional fields.<\/li>\n<\/ul>\n\n\n\n

    2. Fill in the Basic Information Fields<\/h3>\n\n\n\n
      \n
    • Company Name:<\/strong> Define the company name of the profile.<\/li>\n\n\n\n
    • Guest Type:<\/strong> Add the guest type. (These are created during installation.)<\/li>\n\n\n\n
    • Segment:<\/strong> Add the segment information. (These are created during installation.)<\/li>\n\n\n\n
    • E-mail:<\/strong> Add the e-mail address.<\/li>\n\n\n\n
    • Phone:<\/strong> Add the phone number.<\/li>\n\n\n\n
    • Tags:<\/strong> Assign a label. The free text input here is displayed on the profile screen for specific notes.<\/li>\n<\/ul>\n\n\n\n

      3. Enter Address Information<\/h3>\n\n\n\n

      In the Address Information<\/strong> section, enter the physical location of the company:<\/p>\n\n\n\n

        \n
      • Country:<\/strong> Select the country where the profile is located.<\/li>\n\n\n\n
      • Province:<\/strong> Select the province where the profile is located.<\/li>\n\n\n\n
      • Municipality:<\/strong> Add the district where the profile is located.<\/li>\n\n\n\n
      • ZIP\/Postal Code:<\/strong> Add the postal code.<\/li>\n\n\n\n
      • Street Address:<\/strong> Enter the full street address using free text input.<\/li>\n<\/ul>\n\n\n\n

        4. Define Billing Address and Tax Details (Start)<\/h3>\n\n\n\n

        In the Billing Address<\/strong> section, you can add invoice information to manage billing on behalf of this company:<\/p>\n\n\n\n

        • You can define two different billing addresses as Individual<\/strong> and Company<\/strong> as the Receipt Type<\/strong>.<\/li>\n\n\n\n
        • If Company<\/strong> is selected, the Company Title<\/strong> is required. If Individual<\/strong> is selected, the Name and Surname<\/strong> are required.<\/li>\n\n\n\n
        • Company Title (for Company Receipt Type):<\/strong> Add the desired company title.<\/li>\n\n\n\n
        • Tax Office:<\/strong> Add the tax office information.<\/li>\n\n\n\n
        • Tax Number:<\/strong> Add the tax number information.<\/li>\n<\/ul>\n\n\n\n

          5. Define Billing Address (Cont.)<\/h3>\n\n\n\n

          This covers the remaining fields within the Billing Address<\/strong> section:<\/p>\n\n\n\n

            \n
          • Name (for Individual Receipt Type):<\/strong> Add the individual’s invoice first name.<\/li>\n\n\n\n
          • Surname (for Individual Receipt Type):<\/strong> Add the individual’s invoice last name.<\/li>\n\n\n\n
          • Country, Province, District, Postal Code:<\/strong> Add the necessary location details for the invoice address.<\/li>\n\n\n\n
          • Address \/ Address (continued):<\/strong> Enter the full street address for billing.<\/li>\n\n\n\n
          • Phone \/ Fax:<\/strong> Add the contact information for the billing department.<\/li>\n<\/ul>\n\n\n\n
            \n\n\n\n

            6. Accounting and Receivable Details<\/h3>\n\n\n\n
              \n
            • Receipt \/ Accounting E-mail Address:<\/strong> Add the email for sending invoices or general accounting correspondence for the individual or company.<\/li>\n\n\n\n
            • Account ID:<\/strong> Add the special invoice account code if required.<\/li>\n\n\n\n
            • Receivable Account Active:<\/strong> Check this box if the profile will be used for tracking accounts receivable (City Ledger).<\/li>\n<\/ul>\n\n\n\n
              \n\n\n\n

              7. Complete and Save the Profile<\/h3>\n\n\n\n
                \n
              • After verifying all the information, click the Save<\/strong> button to finalize and save the Company profile.<\/li>\n<\/ul>\n\n\n\n
