To successfully complete the <\/span>check-out<\/b> for a room, all <\/span>folio (account) postings<\/b> and <\/span>payments<\/b> must be accurate. The room night charges should be properly reflected, and payments must be entered using the correct methods.<\/span><\/p>\n<\/p>\n <\/div>\n <\/div>\n \n\n\n

  • Room night charges must appear in the folio as day_postings<\/strong>.<\/li>\n\n\n\n
  • All payments must be entered with the correct payment method<\/strong>.<\/li>\n\n\n\n
  • TOTAL<\/strong> and AMOUNT PAID<\/strong> must be equal.<\/li>\n<\/ul>\n\n\n\n

    If these amounts do not match, or if there are over\/under payments, the system will block the check-out process.<\/p>\n\n\n\n

    \u26a0\ufe0f Common Issue: Duplicate Revenue or Payment<\/h3>\n\n\n\n

    Sometimes, even if room night charges are automatically posted, the same item may have been manually entered again<\/strong>. This causes duplicate postings (revenue) in the folio. Example:<\/strong><\/p>\n\n\n\n

      \n
    • The room night charge is already posted via day posting<\/code>, and an additional manual entry<\/strong> is made for the same night.<\/li>\n<\/ul>\n\n\n\n
      \n\n\n\n

      \u2705 Steps to Correct Balance Issues:<\/h3>\n\n\n\n

      1. Create a New Folio<\/h4>\n\n\n\n
        \n
      • In the folio screen, click Add Folio<\/strong>.<\/li>\n\n\n\n
      • A new folio (e.g., Folio 2<\/strong>) will be created for correction purposes.<\/li>\n<\/ul>\n\n\n\n

        2. Transfer the Incorrect Item<\/h4>\n\n\n\n
          \n
        • Hover over the incorrect item (revenue or payment) and right-click<\/strong>.<\/li>\n\n\n\n
        • Select Folio Transfer<\/strong>.<\/li>\n\n\n\n
        • In the pop-up window, select the newly created Folio 2<\/strong> as the target.<\/li>\n\n\n\n
        • Click Save<\/strong>.<\/li>\n<\/ul>\n\n\n\n

          3. Make Corrections in the New Folio<\/h4>\n\n\n\n
            \n
          • Open Folio 2<\/strong>.<\/li>\n\n\n\n
          • Right-click<\/strong> the transferred item:\n
              \n
            • If it is a revenue (posting), select Rebate<\/strong>.<\/li>\n\n\n\n
            • If it is a payment, select Refund<\/strong>.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n

              4. Verify the Original Folio and Balance<\/h4>\n\n\n\n
                \n
              • After completing the corrections, check that the incorrect item has been removed<\/strong> from the original folio.<\/li>\n\n\n\n
              • If multiple incorrect items exist, repeat these steps for each item individually<\/strong>.<\/li>\n\n\n\n
              • Ensure the TOTAL<\/strong> and AMOUNT PAID<\/strong> fields are now equal before proceeding with check-out.<\/li>\n<\/ul>\n\n\n
