The Folio Routing<\/b> feature in HotelRunner PMS allows specific transaction items posted to a guest’s folio to be automatically transferred to another folio or another guest’s account based on rules you define. This feature eliminates the need for manual folio transfers.<\/p>\n<\/p>\n <\/div>\n <\/div>\n \n\n\n

There are two types of Folio Routing options available:<\/p>\n

  1. Routing to a different folio within the same reservation<\/li>\n
  2. Routing to a different reservation account<\/li>\n<\/ol>\n<\/p>\n <\/div>\n <\/div>\n \n\n\n

    Routing to a Different Folio within the Same Reservation<\/strong><\/h4>\n\n\n\n

    This method is typically used to separate a guest’s accommodation charges from their extra expenses (e.g., food & beverage, spa) for separate invoicing.<\/p>\n\n\n\n

    Step-by-Step Guide<\/strong><\/h5>\n\n\n\n
      \n
    1. Prerequisite: Create a Second Folio<\/strong>\n
        \n
      • Open the Folios<\/strong> tab of the relevant reservation.<\/li>\n\n\n\n
      • If one doesn’t already exist, click the Add Folio<\/strong> button to create a second folio where transactions will be routed.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
      • Initiate the Routing<\/strong>\n
          \n
        • While in the Folios<\/strong> tab, click the Add Folio Routing<\/strong> button.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
        • Configure the Source (Left Side)<\/strong>\n
            \n
          • Time Frame:<\/strong> Choose if the routing will apply for the Entire Stay<\/strong> or a specific Custom Date<\/strong> range.<\/li>\n\n\n\n
          • Items to Route:<\/strong>\n
              \n
            • Department:<\/strong> Select specific charge departments (e.g., only Accommodation or F&B) or choose All<\/strong>.<\/li>\n\n\n\n
            • Account:<\/strong> Select the sub-revenue item linked to the department.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
            • Source Folio:<\/strong> Choose the folio from which the items will be taken (usually the main Folio 1<\/strong>).<\/li>\n\n\n\n
            • Price Limit (Optional):<\/strong> You can set a maximum amount to be routed. Any amount exceeding the limit will remain in the source folio.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
            • Configure the Target (Right Side)<\/strong>\n

              • Leave the Route to same reservation<\/strong> option checked.<\/li>\n\n\n\n
              • Folio:<\/strong> Select the target folio where the charges will be routed (e.g., Folio 2<\/strong>).<\/li>\n\n\n\n
              • Click the Save<\/strong> button.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n

                Routing to a Different Reservation Account<\/strong><\/h4>\n\n\n\n

                This method is used when one guest’s charges are to be paid by a different guest staying in another room.<\/p>\n\n\n\n

                Step-by-Step Guide<\/strong><\/h5>\n\n\n\n

                1. Initiate the Routing<\/strong>\n
                    \n
                  • Open the Folios<\/strong> tab of the source reservation (the one whose charges will be routed).<\/li>\n\n\n\n
                  • Click the Add Folio Routing<\/strong> button.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
                  • Configure the Source (Left Side)<\/strong>\n
                      \n
                    • Fill in the Time Frame, Department, Account,<\/strong> and Price Limit<\/strong> settings as in the previous method. These settings determine which charges will be routed.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
                    • Configure the Target (Right Side)<\/strong>\n
                        \n
                      • Ensure the Reservation<\/strong> button is selected.<\/li>\n\n\n\n
                      • Uncheck<\/strong> the Route to same reservation<\/strong> option.<\/li>\n\n\n\n
                      • Reservation:<\/strong> From the dropdown list, select the target guest’s reservation<\/strong>.<\/li>\n\n\n\n
                      • Folio:<\/strong> Select the specific folio within the target reservation where the charges will be transferred.<\/li>\n\n\n\n
                      • Click the Save<\/strong> button.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n

                        Managing Existing Rules<\/strong><\/h4>\n

                        You can view all your created routing rules in the Folios<\/strong> tab. From there, you can edit, temporarily deactivate (pause),<\/strong> or archive<\/strong> them as needed.<\/p>\n
