You can view and edit all profiles created on HotelRunner PMS by navigating to <\/span>PMS > Guest Relations > All<\/b>. Additionally, you can add a new profile independently of any reservations.<\/span><\/p>\n<\/p>\n <\/div>\n <\/div>\n \n\n\n

Access the Individual Profile Creation Screen<\/h3>\n\n\n\n

  • Click the Add guest<\/strong> button, then click the Individual<\/strong> button.<\/li>\n<\/ul>\n\n\n\n

    Complete Basic and Contact Information<\/h3>\n\n\n\n
      \n
    • Navigate to the Basics<\/strong> section of the Add guest screen.<\/li>\n\n\n\n
    • At a minimum, enter the First Name<\/strong> and Last name<\/strong> (required for profile creation).<\/li>\n\n\n\n
    • Optionally, fill in: Salutation, Title, Guest Type, E-mail, Phone<\/strong>, and Vehicle Plate<\/strong>.<\/li>\n\n\n\n
    • Use the Tags<\/strong> field for internal notes.<\/li>\n\n\n\n
    • In the Communication channels approved within the scope of GDPR<\/strong> field, check the boxes to record the guest’s consent for specific communication methods.<\/li>\n<\/ul>\n\n\n\n

      Enter Identification Details (Optional)<\/h3>\n\n\n\n

      • In the Identification<\/strong> section, enter details like ID Type, National ID, Country, Nationality, Birth Date, Issuer<\/strong>, and Gender<\/strong>.<\/li>\n<\/ul>\n\n\n\n

        Define Residence Address<\/h3>\n\n\n\n

        • In the Address Information<\/strong> section, enter the profile’s residence details: Country, Province, City, ZIP\/Postal Code<\/strong>, and Street Address<\/strong> (via free text entry).<\/li>\n<\/ul>\n\n\n\n

          Define Billing Address and Account Details<\/h3>\n\n\n\n
            \n
          • In the Billing Address<\/strong> section, select the Receipt Type<\/strong> as Individual<\/strong> or Company<\/strong>.<\/li>\n\n\n\n
          • Based on the selection, enter the required Name\/Surname<\/strong> or Company Title<\/strong>, along with Tax Office<\/strong> and Tax ID<\/strong>.<\/li>\n\n\n\n
          • Fill in the invoice address details: Country, Province, City, ZIP\/Postal Code, Address, Phone<\/strong>, and Fax<\/strong>.<\/li>\n\n\n\n
          • Optionally, add the Receipt \/ Accounting E-mail Address<\/strong> and Accounting ID<\/strong>.<\/li>\n\n\n\n
          • If the profile will be used for Accounts Receivable tracking, check the box in the Receivable Account<\/strong> field.<\/li>\n<\/ul>\n\n\n\n
