General

  • Please first click the My Property/Profile menu from the upper menu of HotelRunner. Profile menu is the field where you define your property’s general profile details.
  • You must add your Property Name, Property Type and Property Location Details (the distance of your property to specific locations) to the General tab, and you must add an “About” text in the Description field.

Contact

  • In the Contact tab, you must type in your property’s general contact details (Street Address, City, Postal Code, Property Telephone, Property Fax Number, Mobile Number, Property E-mail Address). When following these actions, you must provide an e-mail address to receive your mail-based bookings. Please make sure that all the details are correct before adding them.

Settings

  • You must confirm if your property is open year round from the Open Year Round confirmation field in the Settings tab, and type in the dates of the season if you are operating on a seasonal basis..
  • If you have created packages for the property and wish them to be displayed on the top while booking, you must check the List the Packages on Top
  • If you also wish your guests to reach you for unavailable rooms, you must check the Show Unavailable Rooms in the Results checkbox and type in the opening text field a note as follows: “Please don’t hesitate to contact us for unavailable rooms”.
  • You must select the languages you prefer to use in the panel (You must enter all the details you have entered in the System based on the languages of your choice.)Then you must select the primary language you wish to use in the panel.
  • If channel is used as the administrator in the system, the currency must be Euro. You must select the country you are based in to specify the time zone.
  • You must type the extensions of your Facebook and Twitter
  • User Agreement and Privacy Policy are the legal pages where your rights and your guests’ rights stipulated. If you have such a page on your webpage, you must add their extension.
  • Finally, you must add your hotel logo in the visual data type.

Features

  • From the Features tab, you must determine your property’s general features (Conference Amenities, Security, General Amenities etc.).

Photos

  • You must add your property’s general photos (Lobby, Bar, Garden, Beach, Reception, Exterior View, Room Photos as Reference etc.) from the Photos

Adding Room Types

  • You must create the room types in your property so we can define rates on the HotelRunner system. You must first click the Add Room Type button from My Property / Room Types to create your room type. Please click here for more details.

Prices

  • You must prepare the rate breakdown for the room types you create from the Prices tab in the system. To specify if your prices are By Room or By Person, you can determine your rates based on the guests when your rates are By Person, and you can specify if your prices are refundable, together with such a rate.

Features

  • You must specify features of the new room type you create on the Features tab (General Features, Bed Types, View etc.)

Photos

  • You must add photos of the new room you create on the Photos tab. (General Room View, Room Bathroom Photo, Room Balcony Photo etc.)

Detailed Updating

  • To connect the channels and perform online actions on HotelRunner (Facebook Booking Button, Booking Widget), the rate and availability details in the calendar must be correct. Please click here for information about rate and availability entries.

Bulk Update

  • From the Bulk Updates field, you may update your room prices and availabilities for a specific period and apply the Stop Sales option periodically. Please click here for more details.

Calendar Views

  • You can view your HotelRunner calendar on a weekly, biweekly or monthly basis.

Adding your Domain

  • Please follow the Channels / Website from the upper menu of HotelRunner. You must add your domain for your booking widget on the website and your actions on that website you will use on the system. To add your Domain, you must click Buy or Add a Domain In the opening window, you must type in your active domain in the http:// field, then click Next to continue.

Domain Forwarding

  • To activate your website, your domain must be forwarded to the servers on our end. For more information about changing the DNS records, please click here.

Selecting a Theme

  • There are fields available on the HotelRunner system for you to use on your website free-of-charge. You can apply a theme of your choice on your website for any period. To do this, please go to Channels / Website / Themes from the HotelRunner upper menu.

Adding a Facebook App

  • You can accept bookings from your Facebook fan page by utilizing the Facebook app with no commission. You must add a fan page to the system, rather than a personal Facebook profile page. For more information about adding a Facebook app, please click here.

Creating the Booking Widget Code

  • From the HotelRunner upper menu, please go to Channels / Booking Widget. You may create your custom booking widget by selecting the Add booking widget By utilizing the HotelRunner booking widget, you may accept commission-free bookings from your website. Integrating the Booking Widget with your Site

  • You may integrate your HotelRunner booking widget into your website in any way you would like. Please click here for more details.

Setting up Channel Connections

Connecting to TripConnect by TripAdvisor

  • To apply your online rates on TripAdvisor with TripConnect by TripAdvisor, please follow Channels / TripConnect steps from the upper menu of HotelRunner. For more information about connecting to TripConnect by TripAdvisor, please click here.

Creating a Promotion

  • You may create promotions for your property in different periods of your choice on through your HotelRunner panel. To perform this, please click My Property / Promotions from the upper menu of HotelRunner. Please click here for more information on creating a Coupon code promotion, as an example.

Creating a Deal

You may create campaigns for your hotel in different periods of your choice on through your HotelRunner panel. To perform this, please click My Property / Promotions / Deals from the upper menu of HotelRunner. Please click here for more information about creating a deal.

Creating a Package

  • You can create special packages for your guests on the HotelRunner panel. To create a package, please click My Property / Promotions / Packages from the upper menu of HotelRunner. You may determine the package types to add by clicking the Add Package button.

Adding Mail Order

  • Please click My Property / More / Payment Methods from the upper menu of HotelRunner to accept Mail Order payments from your POS device when you guests wish to pay by credit card. You must select Mail Order as the Provider, name your payment method, and save the transaction. To activate it, you must confirm the transaction from the right confirmation field and then click Save. Adding PayPal

  • You must activate the PayPal payment method for your guests who wish to pay via PayPal. Please contact your HotelRunner sales representative to perform this action.

Adding the Cash Payment Option

  • If you wish to provide the Cash Payment option for your guests, please go to My Property / More / Payment Methods from the upper menu of HotelRunner.

Adding the Wire Transfer Option

  • Utilizing EFT or Wire Transfer options, your guests may transfer the payment amount to the account numbers you will define. For Wire Transfer, please go to My Property / More / Payment Methods from the upper menu of HotelRunner. Please simply define and save your bank account details in the opening field to perform this action.

Adding Virtual POS

  • You must activate the Virtual POS option from the system to accept payments via a Virtual POS option. Please contact your HotelRunner sales representative to perform this action.

Cancellation Rule

  • Cancellation Rulecovers the deduction you must apply in case the booking is cancelled. When your customer wishes to cancel their booking, the rate difference calculated through the refundable price is deducted. This cancellation rule does not cover the non-refundable price. Down Payment Rule

  • If you wish to receive down payment after your guest books a room, you may define it as a rule on the system. To perform this action, please go to My Property / More / Rules / Down Payment Rules. Click here for further information.

Other Rules

  • From the other rules field on the system, you may determine the check-in/check-out times, children age ranges as well as details about pets, smoking and vale services
